General support to the Awards team
Work extensively with internal departments to provide and/or obtain necessary information, materials, approvals, updates, etc.
Manage distribution lists and general office documentation for the awards team
Update campaign specific awards documentation and ensure awards team information is entered into Riley and Weekly Snapshot
Assist in preparing materials and reports for meetings with filmmakers and executives as required
Oversee event transportation and logistics, and reserving vehicles for awards events (award ceremony Q&A, press activities, ceremony, events, etc.)
Manage the master schedule for awards events including Q&A, reception, ceremony, industry events, etc., and coordinate pre- and on-site logistics
Reserve screening rooms, handle DCP requests, manage screenings for awards press, guilds and constituencies (work with professionals to handle invitations)
Responsible for events such as film screenings and awards ceremonies. Track budgeted expenditures across the Awards team and work with Procurement and Finance to process and submit invoices to suppliers on behalf of the team (PR and Creative).
Coordinate meetings including meeting preparation, set-up, invitations and other materials.
Responsible for meeting agendas, notes and summaries (preparation, distribution and archiving).
Arrange meetings and conferences by booking conference rooms, sending meeting requests via Outlook, sending emails, coordinating materials, etc.
Review important incoming emails and notify appropriate team members.
Prepare all business related expenses to ensure expense reports are completed and submitted in a timely manner. Assist with uploading content for submission (Specialist will lead debut access)
Support Director’s calendar as needed
Basic Qualifications:
Bachelor’s degree
1+ years cumulative relevant work experience
Interested in awards and advertising, relevant training and/or internship experience preferred.
Demonstrates excellent communication skills, both written and verbal
Strong organizational, analytical and problem-solving skills
Ability to maintain an efficient office, files, databases and information
Ability to manage multiple high priority projects, properly prioritize work to meet deadlines, make decisions and change course of action quickly
Proactive and resourceful, making independent decisions when dealing with sensitive or confidential information, while exercising good judgment and discretion.
Anticipates Director’s needs and manages office time efficiently.
Detail-oriented with the ability to remain professional under pressure
Proficient in Outlook, Keynote, PowerPoint, Word and Excel
Experience in the entertainment industry preferred
